About This Job

The Louisiana Special School District (LSSD) is an education service agency that provides services to the Louisiana Special Schools (Louisiana School for the Deaf, Louisiana School for the Visually Impaired and Special School Programs). The schools provide educational opportunities to students with low-incidence disabilities and a variety of unique needs. We're looking for a detail-oriented, organized, and service-minded Administrative Assistant 5 to support schools, patrons, and staff in providing educational and accessible library materials to students. Minimum Qualifications

Four years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information

Job Duties:

  • Process and manage orders for textbooks, instructional materials, supplies, and accessible materials requested by schools and patrons.
  • Use KLAS to maintain student and patron records, process material requests, manage orders, and keep information accurate and up to date.
  • Assist schools and patrons with placing online material requests and provide support when they have questions about the ordering process.
  • Maintain library inventory and catalog records, including adding new materials, updating records, labeling materials, and tracking items as they are received and shipped.
  • Coordinate purchasing and purchase orders, including obtaining quotes, preparing requisitions, and ensuring the appropriate approvals and funding are in place.
  • Support the annual Federal Quota Census process by helping schools update student information, verify records, and submit required documentation.
  • Maintain and organize important records, including student documentation, eye reports, parent permission forms, packing slips, and Federal Quota reports.
  • Coordinate accessible educational materials, including ordering and supporting the production of braille, large-print, and digital textbooks and resources.
  • Monitor orders, supplies, and equipment, providing updates to schools and requesting supplies or purchases when needed.
  • Provide friendly, professional customer service to schools, patrons, guests, and staff while supporting the day-to-day operations of the department.

Position-Specific Details:

Appointment Type: The applicant chosen for this position will be expected to accept a Probational Appointment or a Promotion if you are a Permanent State Employee.

Location: THIS POSITION IS LOCATED IN THE OFFICE OF THE SPECIAL EDUCATION DEPARTMENT FOR THE LOUISIANA SPECIAL SCHOOL DISTRICT.
